Software Solutions

We build software and AI automation for industrial businesses.

Software Solutions is the software arm of MekTek, a Canadian engineering firm working across six provinces since 2016. We build AI automations, custom internal tools, system integrations and websites, mostly for companies in mining, energy, agriculture and heavy industry that are still doing too much of it by hand.

What we do

Five services. Most projects are a mix of two or three of them.

AI automation

Software that reads a document, pulls out the data, checks it, and puts it where it belongs. Quotes, RFQs, invoices, specifications, timesheets. A person reviews anything that matters before it counts as final.

Custom applications

Internal tools for work no off-the-shelf product covers: inspections, asset registers, estimating, approvals. Built to work on a phone in the field, not just at a desk.

Systems integration

Connecting the software you already pay for, like your ERP, maintenance system, document store and email, so the same data never gets typed in twice.

Advisory and training

Not sure what's worth automating? We review how your team actually works, tell you what to do first, choose the tools, and train the people who will use them.

Websites and branding

Websites, online stores, brand identity, search and hosting. This site is one of ours.

How an automation works

Nearly everything we build follows this shape. Something arrives, software reads it, the result gets checked, then it lands in the system you already use. A person reviews anything where a wrong answer would cost you money.

Check Rules · thresholds
Human review Wherever a wrong answer costs you something
Write back ERP · CRM · Sheet
A four-stage automation pipeline: intake from email, PDF or web form; reading and extraction; a checking step against rules and thresholds; then writing the result back to your ERP, CRM or spreadsheet. The checking step routes to human review wherever accuracy matters.

AI automation

Reading documents so your team doesn't have to

A supplier sends a forty-page specification. Someone opens it, finds twelve numbers, and types them into a spreadsheet. That happens every week in most businesses, and it is exactly the kind of work software has recently become good at.

We use whichever commercial AI tools suit the job, and we don't let them decide anything on their own. There is a check step and a record of what happened, so you can always see why a number is what it is.

  • Pulling data out of quotes, RFQs, invoices and specifications
  • Drafting sales outreach and following up on it
  • Rebuilding the reports someone currently assembles by hand every month
  • Answering questions against your own procedures, drawings and past projects
  • Training your team to use these tools without leaking anything they shouldn't

Applications and integration

When the software you need doesn't exist

Most industrial businesses have a few processes running on a spreadsheet somebody built years ago that nobody wants to touch. It is usually load-bearing. We replace those with real tools. Something a field crew can use on a phone with no signal, that writes back to the system of record instead of sitting beside it.

We also do the unglamorous half: getting your ERP, maintenance system, document store and email to pass data to each other.

  • Field data capture and inspections that work offline
  • Equipment and asset registers
  • Quoting and estimating tools
  • Dashboards that pull from more than one system
  • APIs and integrations between systems never meant to talk

Projects we get asked for most

Not a menu. Just the jobs that come up repeatedly, and the ones that tend to return the hours fastest.

  • Quote and RFQ intake
  • Reading data out of documents and drawings
  • Sales and outreach automation
  • Recurring reports and submittals
  • Inspection and field data capture
  • Equipment and maintenance records
  • Internal assistants trained on your documents
  • Dashboards and management reporting

How we start

  1. A thirty-minute call

You describe the task that is eating the most time. We tell you whether software can fix it and roughly what that costs. Sometimes the answer is that it is not worth automating, and we will say so.

  2. One project first

We build the single highest-value, lowest-risk piece. You get something working in weeks, so you can judge us on a result rather than a proposal.

  3. Then the next one

Once your team trusts it, we move to the next task. Most of our work grows this way rather than starting as one large programme.

Common questions

Is our data used to train AI?

No. Your documents, drawings and operational data are never used to train public models. We work under NDA from the first real conversation, and we will tell you exactly where your data is processed and stored before you commit to anything.

Who owns what you build?

You do. Code in your repository, accounts in your name, and documentation written for whoever maintains it next. Nothing is licensed back to you, and nothing depends on us still being here in three years.

Why MekTek and not a software agency?

We are a software agency. We are just one that grew out of an engineering firm. You will not spend the first three meetings explaining what a P&ID is, or why the shutdown window cannot move.

What does it cost?

Every project is quoted on what it actually needs, so the call comes first. Worth knowing: Canadian federal and provincial programs fund AI adoption and digital projects, and we will tell you what yours might qualify for.
